1. Who We Are
PRESERVE Inc. is based in Tokyo, Japan. We provide tee time booking concierge services for golf courses in Japan and may introduce users to third-party partners for additional services.
2. Information We Collect
When you use our Site or Services, we may collect the following personal data:
- Name
- Email address
- Phone number
- Country of residence
- Golf preferences and travel interests
- Booking details and communication history
This information is voluntarily submitted by users when filling out forms or contacting us.
3. How We Use Your Data
We use your personal information to:
- Process and manage tee time requests
- Communicate with you about your bookings or inquiries
- Provide relevant information about Japanese golf experiences
- Refer you to trusted third-party providers if you express interest in premium golf packages
- Improve our services and user experience
- Comply with applicable legal obligations
We may also use your information to send you marketing communications, such as newsletters, special offers, new course updates, and event invitations. You can opt out of receiving marketing emails at any time by following the unsubscribe link included in our messages or by contacting us directly.
We may also use non-identifiable data (e.g., aggregated golf preferences or browsing trends) for internal analytics, performance tracking, or reporting purposes.
4. Relationship with Third-Party Providers
PRESERVE does not directly offer travel services that include accommodation, transportation, or tour guiding.
Important Notice: Any services involving travel agency activities (e.g. hotel, transport, guided tours) will be handled entirely by licensed local partners. PRESERVE does not control or process customer data for services rendered by these partners beyond the initial referral. By proceeding with such referrals, you agree that your data may be shared securely with them for service delivery purposes.
5. Sharing of Information
We do not sell your personal data. We may share it only with:
- Internal staff responsible for handling your booking
- Trusted referral partners, if you’ve requested to be referred to them
- Service providers and sub-processors who handle data on our behalf under confidentiality obligations — for example, payment processing, email delivery, hosting, analytics, security and rate-limiting, internal team notifications, content management, and AI or automated-tool providers — and only to the extent needed to operate the Service (the specific overseas providers are listed in Section 7)
- Legal authorities, if required by law
Any external data sharing is done solely to fulfill your request and improve your experience.
6. Your Privacy Choices (incl. CCPA & GDPR)
You may request to:
- Access or modify your personal data
- Withdraw consent to communications
- Delete your personal data from our system
California residents (CCPA/CPRA): you have the right to know what personal information we collect, to request its deletion, to correct it, and to opt out of its “sale” or “sharing.” We do not sell or share your personal information as those terms are defined under California law, and we will not discriminate against you for exercising any of these rights.
EU/UK residents (GDPR/UK GDPR): you have the right to access, rectify, erase, restrict, or object to the processing of your personal data, and to data portability. Our legal bases are your consent and the performance of the booking services you request.
To exercise any of these rights, email support@preservegolfjapan.com. We respond within the timeframes required by applicable law (generally within 30–45 days) and may need to verify your identity first. We retain records of completed transactions where the law permits or requires it.
7. Japan APPI (Act on the Protection of Personal Information / 個人情報保護法)
PRESERVE Inc. is a personal information handling business operator (個人情報取扱事業者) under Japan’s Act on the Protection of Personal Information (APPI) and handles your personal information in accordance with the APPI.
Cross-border transfers: your personal data is processed on our behalf by service providers located in the United States — Vercel (hosting, and privacy-friendly cookieless usage analytics), Supabase on AWS (database and authentication), Stripe (payments), Shopify (tour orders and checkout), HubSpot (CRM and inquiries), Amazon SES (email delivery), Sanity (content management), Upstash (rate-limiting and abuse prevention, which processes IP addresses), and Anthropic (AI assistance to help draft, translate, and route communications). In addition, unless you have declined our advertising cookies, Google LLC and Meta Platforms, Inc. (advertising measurement) may receive a hashed email address or phone number — and, for Meta, your IP address and browser user-agent. We rely on contractual data-protection terms with each provider requiring measures equivalent to APPI standards as the safeguard for these transfers.
Retention: we keep booking and payment records for the period required by Japanese tax and commercial-record law (currently up to 7 years). We keep inquiry, contact and account information for as long as our relationship or a legitimate business purpose continues — generally up to 5 years after your last interaction — after which it is deleted or anonymized, unless the law requires us to keep it longer or you ask us to delete it sooner (see Section 6). If our business is transferred, personal data may pass to the successor for the same purposes.

8. Cookies and Usage Logs
Strictly necessary cookies. We use cookies and similar browser storage required to operate the Site. These are always active and do not require your consent:
- An authentication session cookie when you sign in to your account
- A cookie remembering access to our members-only clothing page
- A cart identifier kept in your browser’s local storage for tour checkout
Analytics cookies. To understand how the Site is used and to improve it, we use:
- Google Analytics (Google LLC) — measurement of site usage, pages viewed, and aggregate visitor behaviour. IP addresses are anonymised and we do not send your name, email, or phone number to Google Analytics.
- Vercel Web Analytics (Vercel, Inc.) — cookieless, aggregate traffic, pages, referrers, and approximate country, plus page-performance metrics.
Advertising cookies. To understand how our tours are discovered and to measure the effectiveness of our advertising, we use:
- Google Ads (Google LLC) — conversion measurement and lead attribution. When you submit an inquiry or booking, a hashed (irreversible) version of the email address or phone number you provide may be transmitted to Google to match conversions.
- Meta Pixel (Meta Platforms, Inc.) — measurement of page views and funnel events, and advertising audiences.
These analytics and advertising cookies are off by default, and you can turn each category on or off independently. For visitors in the EU, UK, EEA, and Switzerland they load only after you give consent; for other visitors they operate on an opt-out basis and can be declined at any time. You can change your choice via or your browser settings. Declining does not affect access to the Site; blocking strictly necessary cookies may prevent parts of the Site (such as sign-in) from working.
External transmission of information (電気通信事業法 外部送信規律). This Site transmits certain information from your device to the following third parties:
- Vercel Inc. — privacy-friendly, cookieless usage and performance analytics (pages viewed, referrer, and an approximate country derived from your IP address). For visitors in the EU, UK, EEA and Switzerland this loads only after you consent; for other visitors it runs by default and can be declined. It does not use cookies or store your IP address.
- Google LLC (Google Analytics) — site-usage analytics (pages viewed, referrer, device, and an approximate location), only when the analytics cookies above are active. IP addresses are anonymised and we do not send your name, email, or phone number.
- Google LLC and Meta Platforms, Inc. — advertising measurement and audiences, only when the advertising cookies above are active. This may include cookie identifiers, pages viewed, and — on inquiry or booking submission — a hashed (irreversible) email address or phone number. Meta additionally receives your IP address and browser user-agent through server-side conversion measurement.

9. Artificial Intelligence and Automated Tools
To operate efficiently and respond quickly, we may use artificial intelligence (AI) and other automated tools — including third-party AI services — to help draft, translate, and summarize communications, process and route booking inquiries, and improve our services.
AI-assisted communications relating to your booking are reviewed by our team, and final decisions about your bookings are made by PRESERVE staff, not by automated systems alone. We do not use your personal information to train publicly available AI models. Where a feature interacts with you directly through AI (for example, an automated chat or email assistant), we will identify it as AI-assisted so you always know when you are dealing with an automated tool rather than a person.
10. External Website Links
Our Site may contain links to external websites (e.g. partner providers). We are not responsible for their privacy practices. Please review their policies directly before sharing any personal data with them.
11. Data Security
We use reasonable technical and organizational measures to protect your data. While no system is 100% secure, we take data privacy seriously and work to safeguard your information against misuse or unauthorized access.
12. Children and Minors
Our Site and Services are intended for adults aged 18 and over, and we do not direct them to children. We do not knowingly collect personal information from anyone under 16. Where a booking includes a minor as a member of the playing party, we collect only the minimum information needed (such as a name), provided by the responsible adult making the booking on that minor’s behalf.
If you believe a child has provided us personal information, contact support@preservegolfjapan.com and we will delete it.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Changes are effective upon posting. Continued use of our services implies your acceptance of the revised policy.
